Location: Our office is in Dublin 2 and this is a fully office-based role.

The job:

The Facilities Coordinator will manage the site Facilities for the two Dublin offices to ensure all Safety, Quality, Service and Cost targets are met. It is a hands-on role where the person will be actively involved in carrying out tasks.

If you join us, this is what you will be doing:

Support the overall delivery of Facilities Management operations across the Dublin offices.
Carry out weekly Facility related Audits and follow up on actions required.
Allocating and managing space within Buildings.
Managing Budgets and ensuring cost-effectiveness in line with the procurement policy.
Prepare site regulations and issue permits to work for all contractor activities on site.
Management of soft services contract including all cleaning and associated hygiene services.
Provide assistance in relation to mail and courier delivery processes, meeting room scheduling, stationary and stock orders, confidential shredding etc.
Management of archive system – including storage, destruction and online portal for departments.
Ensuring all facilities helpdesk requests are tracked and resolved in timely manner.
Generate Purchase orders for associated services as required.
Ensure safe systems of work are in place for all operations by managing and addressing the Health & Safety requirements of each function (Fire wardens and first aid).
Ensure process documents related to Facilities Management are in place and updated where necessary.
Carry out basic repair and maintenance tasks and log reactive call outs, where required.
Carry out specific project work for the Corporate Services Department as required.
Management of mobile phone contract for Concern, including management and implementation of mobile phone policy and billing queries.
Support project management and pricing of refurbishments in buildings as required.
Up-dating of asset register as required.
Upholding and promoting Concern’s values, including our workplace equality, diversity and inclusion values.
Skills you will bring:

Essential:

Over 2 years’ experience in a similar role
Financial acumen
IT skills
Understanding of the facility related services
Familiarity and understanding of BMS, HVAC, Access control and Fire Alarm systems
Time management, decision making and organisational skills
Excellent interpersonal skills
Strong Communication skills.
Team working.
Experience in working within a safety culture/ zero harm culture.
Interest in development issues and a commitment to Concern’s work with people in the Developing World.
You will report to Head of Facilities and work with all staff, contractors and suppliers.

The salary is from €32,473 to €38,205 (band 3) and this is a permanent contract – this is a fully office-based role.
