How can you make a difference?

Purpose
Under the supervision of the Logistics Officer and technical support from the Logistics Specialist & Manager, the Logistics Assistant is responsible to plan, manage and monitor all aspects of warehouse and transport operations and inventory management of programme supplies at the Bor warehouse and management of the supply chain related activities for Bor field office.


MAIN RESPONSIBILITIES AND TASKS
Support all Bor warehouse activities required to effectively contribute to the South Sudan country office.
Support to the maintenance of appropriate warehousing and inventory management processes and practices. Ensure accurate and complete accounting, reporting and internal control systems are in place, and relevant records are properly maintained
Assess availability of space and prepare stacking and storage plans to ensure appropriate storage and optimize the use of space.
Supervise receipt of consignments and dispatch of supplies.
Prepare weekly stock reports. Monitor inventory to track trends and account for the inventory status from source to the beneficiary. Carry out regular physical counts of inventory in the warehouse. Prepare documentation for commodity disposal through Property Survey Board committee. Keep track of near to expiry supplies ensuring FIFO and FEFO approaches.
Review the warehouse inventory control systems for receipts, storage, and release of supplies from Bor to partners/project sites and supervise the preparation of appropriate documentation such as goods receipts, stock cards, picking orders, shipping waybills, etc.
Ensure best practice is implemented for all aspects of warehouse operations.
Manage the picking and shipping/dispatch of all supplies requested for release and ensures adequate transport planning and arrangements are put in place to implement the dispatches, including but limited to Releases for Regular Programs and Emergency responses, Convoy movements, RRMs, Air and Barge movements and special projects using either the UNICEF contracted operators and/or Logistics Cluster.
Review the weekly warehouse report related to Bor warehouse in terms of in-stock, stock aging, stock expiry and dispatch reports and follow up on any required actions.
Support in the management of the Bor warehouse and inventory management activities including but not limited to physical counts, stock transfers, inventory impairment, local kitting and repacking etc.
Ongoing assessment of warehousing capacity requirements, to ensure sufficient space, laborer's, equipment, and trucks are available to support warehouse operations in the most cost-effective manner.
Ensure effective communication is established with all stakeholders.
Ensure all logistics transactions are correctly and accurately recorded in the VISION system in a timely manner and that all documentation related are properly filed and readily available for reporting and audit purposes.
Supervise the Bor warehouse staff, in preparation and for implementation of the units work plan and review the distribution of tasks for maximum effectiveness.
Provide capacity building to Implementing Partners logistics staff on good WIM applicable in the field context.
Any other duties assigned by the Supervisor.

Education:
Completion of secondary education is required, preferably supplemented by technical or university courses related to supply chain, business administration, contract/commercial law, or another relevant technical field.

Experience:
A minimum of 5 years of relevant logistics and warehousing experience in supply chain management or a commercial context is required. Understanding of humanitarian work is an advantage. Emergency experience is also an advantage.

Language Requirements:
Fluency in English is required. Knowledge of another official UN language or local language of the duty station is considered as an asset.
