UNICEF Regional Office for South Asia (ROSA) through effective support to country offices and strategic engagement with partners ensures Knowledge Management (KM) is well integrated into WASH programme planning and lessons are captured. ROSAs WASH team requires an intern to support the WASH Specialist focal point for KM in strengthening the KM area of work across the region and country offices.

UNICEF WASH has developed and implemented a Knowledge Management Strategy (general) and a regional WASH KM strategy is currently being revised as part of the new global WASH strategic plan.

The vision of the strategy is putting knowledge to work in order to ensure that the basic human rights of access to safe, clean water and safe and hygienic sanitation are fulfilled for every child.

The WASH KM Strategy has the following three goals: i) embed learning from experience and use of knowledge and evidence in UNICEF’s WASH programming, business processes and advice to partners, ii) build staff capacity to do WASH KM effectively and iii) strengthen UNICEF’s leadership role in the generation and exchange of WASH knowledge across the sector both nationally and globally.

To bring this about, the Strategy is organized around four strategic pillars:

Pillar 1. Knowledge generation: Improving our systems for generating knowledge. This pillar applies appropriate methodologies and study designs focusing on WASH services that impact children, and it improves and standardizes quality assurance.

Pillar 2. Knowledge customization: Improving our systems for documenting and customizing knowledge. This pillar amplifies the impact of the knowledge UNICEF compiles and generates through its correct application in its WASH projects and programmes.

Pillar 3. Communication, advocacy, and use: This pillar focuses on providing opportunities to connect people for exchanging tacit knowledge, and on engaging staff around global advocacy priorities for WASH, knowledge, tools, and KM systems to increase their uptake and inform decision-making.

Pillar 4. Capacity building: Targeting capacity building efforts to ensure the professional development needs of WASH staff are met to achieve programme objectives and making learning tools widely accessible to support broader capacity building of sector stakeholders.

Along with the pillars, the strategy is supported by 4 enablers: resources, culture, governance and technology.

Purpose/Objective:

The objective of this internship is to support the WASH and Environment section in ROSA and South Asia Region (SAR) country offices (COs) in their KM work by supporting the 4 pillars of the WASH KM strategy.

Key tasks and responsibilities:

Working directly under the supervision of the WASH Specialist focal point for KM and in close collaboration with the overall ROSA WASH team, the intern will be responsible for the following general/specific tasks:

Liaise with sections and COs WASH KM focal points to gather content; draft summaries for the cross-regional and global WASH newsletter. The newsletter features South Asia WASH programming, staffing updates, technical updates, and knowledge products.

Support the development of knowledge products on WASH and the Environment as required.

Continue with mapping the external WASH knowledge networks and universities (global and regional) and compile a list of potential collaboration partners to further establish contacts and relationships

Maintain and update ROSA WASH SharePoint sites and document library under the respective topic.

Repackage the knowledge products (KP) catering to audience needs. Compile the KP in a way that is easy to access, easy to understand, and meets the knowledge needs of the user.

Support the team for any internal cross-sectoral collaboration initiative, event, workshop, or meeting that will occur in the organization.

Support dissemination efforts: ROSA WASH is involved in the dissemination of research findings, assessments, lessons learned i.e. case studies, evidence, etc. The task of the intern will include designing flyers, communication with sections, country offices and presenters to support the process of organizing webinars and similar virtual events, such as Brown Bags, virtual skill sharing, coffee chats, etc.

Ensure that regional and CO level knowledge products are correctly formatted and in template before being published by HQ.

Support the team for any internal cross-sectoral collaboration initiative, event, workshop, or meeting that will occur in the organization. Assist in event planning, coordination and undertake other duties relevant to the role including writing minutes and other tasks as they arise.

Maintain an inventory of all the KPs produced by ROSA and templated products from COs

Perform any other tasks as required by the supervisor and the team.

Key Deliverables:

Knowledge Generation:

Assist COs and RO in developing KP whenever possible. Gather material and support the process of case study curation, other lessons learned. Assist in knowledge mapping and mapping of external networks and compile a list of potential collaboration partners (target date – monthly and ongoing)

Knowledge customization:

Ensure that regional and CO-level knowledge products are correctly formatted and in the template before being published by HQ. Repackage the KPs catering to audience needs; info graph, newsletter, etc. (target date - 2 months after start date)

Communication, advocacy, and use. Support dissemination efforts through the editing of existing knowledge products into regional and global templates, including the development of dissemination plans (Customizing and disseminating knowledge):

Support the KPs developed by RO and CO to disseminate internally via SharePoint, email, and Yammer; (target date – monthly and ongoing)

Regular update of ROSA WASH knowledge management sites: maintain and update the WASH platforms (Sharepoint, Yammer, Email) (target date – ongoing)

Key competencies, technical background, and experience required:

Required Education, Skills, and Experiences include:

The candidate must be pursuing or have recently graduated with a University Degree in Communications Sciences, Journalism, Public Relations/Administration, International Relations, Development Studies, Human rights law, Public Health, Engineering, or related fields.

Speaks and writes clearly and effectively. Listens to others, correctly interprets messages from others, and responds appropriately. Asks questions to clarify and exhibits interest in having two-way communication.

Demonstrates openness in sharing information and keeping people informed.

Be fully computer literate in standard software applications. (Sharepoint experience an asset)

Have good analytical skills and possess good report-writing skills.

Have a demonstrated ability to successfully interact with individuals of different cultural backgrounds and beliefs, which includes a willingness to try and understand and be tolerant of differing opinions and views.

Prior experience in the work environment of an international agency, NGO, UN, or international institution would be desirable.

Duration: 6 months

Insurance:

UNICEF accepts no responsibility for costs or fatality arising from illness or accidents incurred during the internship; therefore, the intern must have adequate medical insurance.

Applicants for internship must show proof of valid medical and life/accident insurance for the duty station for which they will work.

Improved analytical and writing skills i.e. capture of lessons learned (case studies and newsletter) as well as acquire coordination skills in liaison with multiple country offices.

Intern Status within UNICEF:

Interns are considered gratis personnel and as such they are not staff members.

Although not considered a staff member of UNICEF, the intern shall be subject to the authority of the Executive Director and the authority delegated by her to the Director and Heads of Offices. Interns are not entitled to the privileges and immunities accorded by member states to UNICEF's officials and staff members.

Interns may not be sought or accepted as substitutes for staff to be recruited against authorized posts.

Interns may not represent UNICEF in any official capacity.

An accrual of 2.5 days per month is to be used as annual leave, emergency leave, or uncertified sick leave.

The intern will work full-time. The candidate selected will be governed by and subject to UNICEF’s General Terms and Conditions for interns.

As an intern, you will respect the confidentiality of information that you collect or are exposed to at UNICEF. No reports or papers may be published based on information obtained from UNICEF without explicit written authorization by the Head of Office or Division Director.

The UNICEF internship programme is not connected with employment and there is no expectancy of such. Interns cannot apply for posts advertised internally to UNICEF staff during the period of internship.
