BACKGROUND AND PURPOSE OF THE ASSIGNMENT:
The Logistics Cluster (LC) is an Inter-Agency Standing Committee (IASC) coordination mechanism responsible for coordination, information management, and, where necessary, logistics service provision to ensure an effective and efficient logistics response takes place in humanitarian emergency missions. In its role as the Logistics Cluster (LC) lead, WFP maintains in its Logistics Cluster team in its Rome Headquarters which supports the activities and initiatives of the Logistics Cluster globally. Life-saving humanitarian action can have unintended environmental impacts, which can hamper the effectiveness of relief, recovery, and sustainable development efforts. The humanitarian supply chain, typically responsible for the procurement, transport, and warehousing of goods, as well as for the management of premises, waste, and fleets, is at the center of these impacts. Under the umbrella of the Logistics Cluster, the Environmental Sustainability in Humanitarian Logistics (WREC) Coalition seeks to reduce the adverse environmental consequences of humanitarian logistics through awareness raising, practical guidance, and provision of real-time environmental expertise to support operations. The WREC Coalition further aims to support the humanitarian community with specialized humanitarian logistics expertise, training, and tool development to support environmental sustainability initiatives. The project is coordinated by the Logistics Cluster and supported by a coalition of humanitarian organizations - the Danish Refugee Council (DRC), the International Federation of Red Cross and Red Crescent Societies (IFRC), Save the Children International (SCI) and the United Nations’ World Food Programme (WFP). Representatives of these five entities form the Project Steering Committee. The Data and Content/Information Management Officer will report to the WREC Project Manager, coordinating closely with all coalition partners as well as the LC's Headquarter Information Management team (HQ IM).
ACCOUNTABILITIES/RESPONSIBILITIES:
The incumbent will be responsible for the overall information and knowledge management, and undertake the following work under the guidance and final clearance of the WREC Project Manager:
1. Communications and Information Management • Briefing Materials and Reports: Independently prepare advocacy and briefing materials for the Project Manger, donors and LC partner organizations, as requested, regarding the project. Suggest and implement means to improve communications, information sharing, and coordination between LC participants. Report to internal or external stakeholders concerning specific project-related activities. • Communication Strategy: Proactively support in the conceptualization, drafting and implementation of the WREC Coalition’s Communications Strategy, Partnership Communications Toolkit, and Partnership Statements Framework as well as other documents. In line with the WREC Coalition’s Communication Strategy, propose an action plan for developing internal and external advocacy and communication materials as well as infographics to promote the mission of the WREC and its guidance/tools. • Social Media: Initiate social media content (blog posts, Twitter, Facebook, LinkedIn, etc.) including developing information graphics, and ensuring coordination with the LC’s HQ IM team for posting content online. Ensure all publications are in line with LC standards and templates. Track social media usage and make suggestions for increasing the audience. • Website Management: Proactively manage and continually improve the WREC website, including improving usability, vetting information materials to be shared online, developing data visualization, and collecting and editing stories from the field. Track and visually present metrics. • Helpdesk Support: Proactively respond to all partner/external project inquiries and support the management of the WREC’s global helpdesk by responding to queries in a timely manner and directing questions for support to the appropriate environmental specialists. Track and analyze helpdesk-related analytics. • Information Sharing and Management: Establish, improve, and maintain internal and external information sharing and management mechanisms and systems (e.g., documentation formats, assessment formats, central file store, operations archive, reporting systems). Ensure archiving of all approved documents on established information channels. Create and improve standard templates, as needed. • Information Products Accessibility: Propose means to strengthen the accessibility, flow, and quality of information products to ensure essential project information, data, and evidence for internal use and decision-making is available and user friendly. This includes establishing (when necessary), improving, and maintaining existing interactive dashboards, online platforms, and static products to visualize content. • Project Website and LC Platforms: Proactively ensure accurate and consistent information concerning all project activities is made available via the project website and associated LC platforms, through focused communications materials, and in standardized and/or ad-hoc reports upon request from partners and LC management.
2. Stakeholder and Event Representation and Management • Meeting and Conference Support: Independently prepare advocacy, messaging and presentation materials. When required, represent the WREC Coalition in internal and external meetings/conferences. Support the Project Manager and Environmental Specialists with regular stakeholder meeting/conference preparation and communications including ensure all planned trainings/meetings/conferences are updated on the project calendar and shared with stakeholders as relevant, including the WREC Steering Committee. Support in the preparation and note taking of the Coalition’s Steering Committee’s monthly meetings.
3. Reporting and Documentation • Meeting Notes and Documentation: Through active engagement in meetings, capture decisions and action points of meetings by drafting timely notes for the record and completing data archiving in the project’s dedicated information channels/folders. Ensure follow-up actions are shared with relevant stakeholders and actions completed. • Reporting Requirements: Lead the drafting of all WREC’s reporting requirements, including donor reports and survey analysis including the visual representation of complex data. Ensure data is tracked through appropriate KPIs. Maintain the highest degree of transparency and accountability to stakeholders. • Reporting Timelines and Calendar: Lead the consolidation of reporting timelines and meetings, ensuring an up-to-date project calendar is always available. • Catalogue of Project Materials: Develop a catalogue of project materials to be used by the Project Manager and Project Steering Committee for use when making public appearances and attending external meetings. Present this catalogue in visual and user friendly manner.
4. General Support • Other Duties: Perform any other related duties as required
QUALIFICATIONS & EXPERIENCE REQUIRED:
Education: University degree in economics, social sciences, international relations, communications, journalism, project management, environmental sciences, or related field; or the equivalent combination of education and experience.
Experience: Minimum six years of professional experience in an international context including: responsibility in information and/or information management, advocacy, communications, and/or reporting roles; experience with reporting/tracking systems; data management and working in a humanitarian or development context (from the country or field level).
Knowledge & Skills: Excellent English written and verbal communication skills; high attention to detail and proofreading ability; good research and data analysis skills; ability to track data and visualize complex data with infographics; ability to meet deadlines and work under pressure as part of a small but dedicated team with multiple conflicting priorities and deadlines; ability to work independently while asking questions and seeking support in a fast-paced work environment. Experience in using social media in a professional context preferred. Experience and/or interest in environmental sustainability is desirable. Technical Skills: Proficient in MS Office package, particularly in Microsoft Excel, Word, and PowerPoint. Experience with HTML and or website content management is a plus. Information management/database experience is desirable. Demonstrated ability to translate complex ideas visually and into simple language.
Languages: English is required, proficiency in French or Spanish is an advantage
